Guidelines for Contributing to ScholarWorks

ScholarWorks is Central Washington University’s institutional repository, a place where the community’s collective scholarly and creative output can be preserved and shared with the general public.

ScholarWorks archives the following material types:

Faculty Scholarship and Creative Works
Student Scholarship and Creative Works
Community Projects, University Archives and Special Collections
Journals
Conferences and Events

We welcome your contributions in each of the following areas and encourage you to look over the guidelines below. Please contact scholarworks@cwu.edu if you would like more information.


Faculty Scholarship and Creative Works:

About

Faculty Scholarship and Creative Works comprise scholarly work produced by faculty or administrators at Central Washington University. This work is arranged by college, school, department, institute, campus, or administrative unit. Copyright permitting, these works are posted to the repository as full-text documents. When the library is unable to secure copyright or licensing permission to re-post previously published materials, we can provide links to the full text of scholarly work when it is available through library subscriptions.

Guidelines

Materials appropriate for Faculty Scholarship and Creative Works are generally previously published works such as journal articles or book chapters. At least one author of the work must be affiliated with Central Washington University. Deposited materials are intended to be permanent contributions to the repository. Once deposited, a paper or other document generally may not be withdrawn.

How to Contribute Content

If you have content that you believe is appropriate for ScholarWorks, please contact scholarworks@cwu.edu. Please be prepared to submit an electronic copy of your work, or a link where your work may be downloaded online. Works submitted go through a copyright review process to ensure that Brooks Library can legally post the material. Providing any relevant Copyright Transfer Agreement(s) between you and your publisher(s) will greatly accelerate this process.

Appropriate content for ScholarWorks may include, but is not limited to

  • Published articles from scholarly journals or post-prints of such articles
  • Works published in literary journals
  • Book chapters
  • Research reports
  • Administration and policy reports
  • Papers included in Conference Proceedings
  • Keynote and Commencement Addresses
  • Conference Presentations
  • Datasets

Student Scholarship and Creative Works:

About

Student Scholarship and Creative Works are arranged by project type, with Electronic Theses comprising the majority of the content in this area.

Guidelines

Housed in Student Scholarship and Creative Works are theses, capstone projects, and other culminating projects produced by students who have earned their undergraduate or graduate degrees at Central Washington University. For students who wish to temporarily protect their scholarship, the repository provides an embargo period during which time their work will not be disseminated. Deposited materials are intended to be permanent contributions to the repository. Once deposited, a paper or other document generally may not be withdrawn.

How to Contribute Content

Only theses which have been approved by your thesis advisors and certified by the CWU School of Graduate Studies and Research may be uploaded to ScholarWorks. Please visit the School of Graduate Studies and Research website or see the Thesis General Regulations for more information. Contact the School of Graduate Studies and Research or call (509) 963-3101 if you have additional questions about your thesis. Instructions for uploading your completed master’s thesis to ScholarWorks @ CWU are available on the Completing Your Master’s Thesis LibGuide.

  • Masters theses
  • Senior capstone projects
  • Masters projects produced for publication in journals
  • Final projects selected in consultation with faculty advisers

Community Projects, University Archives and Special Collections:

About

The Community Projects, University Archives and Special Collection segment of the repository provides a prominent place for faculty, students, staff, the university archives, and partnering organizations to showcase collections of historical value. Many of these collections are visual rather than textual in nature. These collections include photographs, artwork, audiovisual materials, and other types of images. Metadata can be associated with images to enhance searching and retrieval.

Guidelines

The collections in this section of the repository are best used to display a group of selected images. They are not intended to be the comprehensive archive for an exhaustive collection.

How to Contribute Content

If you have content you'd like to archive in ScholarWorks, please contact scholarworks@cwu.edu or archive@cwu.edu. If your materials are appropriate, the repository administrator and university archivist will design the gallery in consultation with you. In most situations, we will upload images for you, using content and metadata that you provide. External website links can be included in the sidebar of the newly designed image gallery.

Examples

The Roslyn, Cle Elum, and Ronald Oral History Collection is one example of a gallery that can be assembled in this section of the repository.

Journals

About

ScholarWorks @ CWU can host research journals, student journals, or other serial publications, as well as open-access books. Journals hosted on ScholarWorks are discoverable by Google and other search engines, and are accessible online. The journal’s design and workflow process can be customized to suit the journal’s needs.

Guidelines

Any journal, newsletter, serial publication, or book sponsored by Central Washington University faculty or student organization that produces intellectual, academic, or creative works may consider ScholarWorks as a platform for publication.

ScholarWorks may be a good fit for your publication if:

  • Publication will be open access
  • The journal or book editor or other person associated with the publication is likely to continue association with Central Washington University
  • The publication follows a regular schedule of publication

How to Contribute Content

If you are interested in using ScholarWorks as a publishing platform, please contact scholarworks@cwu.edu to discuss the possibilities. If the parties responsible for the publication agree to use ScholarWorks, we will ask you to fill out a set-up form and begin the design and training process for launching the journal. Representatives at Brooks Library will be available on an ongoing basis for consultation to assist with the use of the repository.

Examples

Types of publications appropriate for publication in ScholarWorks include:

  • Serial publications published by CWU-affiliated centers and institutes
  • Journals and magazines with an academic focus published by CWU student organizations
  • Proceedings from recurring conferences hosted at Central Washington University
  • Peer-reviewed journals edited by Central Washington University faculty
  • Textbooks edited by Central Washington University faculty
  • Scholarly books written by Central Washington University faculty and staff

Conferences and Events:

About

Event organizers may use the Conferences and Events section of the repository to host content produced for academic conferences and symposia, including schedules, papers, and video footage. ScholarWorks provides a workflow to manage submissions, peer review, session schedules, and publication. Conferences and Events are discoverable by Google and other search engines.

Guidelines

Any event or conference sponsored by Central Washington University faculty or student organization that produces intellectual, academic, or creative works may consider ScholarWorks as a platform for hosting. To be included in the repository, an event must be managed by or associated with Central Washington University.

How to Contribute Content

If you are interested in using ScholarWorks as a platform to host your conference or event, please contact scholarworks@cwu.edu. If you agree to use ScholarWorks to support your event community, we will ask you to fill out a set-up form and begin the design process. Once a conference or event is accepted for hosting on the ScholarWorks platform, we will work with you on set-up and training. Representatives at Brooks Library will be available on an ongoing basis for consultation to assist with the use of the repository.

Examples

Types of events that might be appropriate for the ScholarWorks platform:

  • Academic conferences held by scholarly organizations or institutes
  • Symposia that highlight research and scholarship in a field of study
  • Conferences that highlight student research and projects
  • Online conferences that feature video presentations and/or scholarly papers
  • Regularly occurring lectures of a scholarly and informative nature hosted by an academic department, institute, scholarly organization, or scholarly publication
